Privacy
What we keep, and for how long.
We run a leather desk, not an advertising business. The personal data we hold is almost entirely what you type into an email or a WhatsApp message, plus the accounting record the law requires us to keep. This page says exactly what that means.
1. Who is responsible for your data
The data user for this site is HUIXINDA Trading Company Limited, registered at ROOM 10D R1, 10/F, KIN GAIN INDUSTRIAL BUILDING, 9 SAN ON STREET, TUEN MUN, HONG KONG. That company decides why and how your details are used, answers access requests, and is the party named in any complaint. You can reach the person who handles privacy at HUIXINDA1@outlook.com; put Privacy in the subject line so it is routed straight to them.
2. What we collect
There is no account on this site and no checkout, so the list is short.
- Enquiry details you send us. Your name, email address, and if you give it a phone number or WhatsApp handle, the country and city of delivery, the pieces and SKUs you ask about, quantities, colours, your deadline, and any monogram text you supply.
- Order correspondence. The email thread, your written acceptance, the invoice we issue, payment confirmations from your bank or ours, and the courier tracking number. This file is kept together as one order record.
- Repair records. Fault photographs, the return authorisation number, and notes on what was re-stitched or replaced, so the same piece is not diagnosed twice.
- Server logs. Our web server records the IP address, the page requested, the referring address, the browser user agent and a timestamp. Logs are used for security and fault-finding only and are rotated every thirty days.
We do not ask for your date of birth, your identity document, your health data or your card number, and we do not want them. If a message arrives containing a card number we delete it and ask you to send it by a safer route.
3. Cookies and session state
This site sets no advertising or analytics cookies and embeds no third-party trackers, pixels or social plug-ins. The only cookie we use is a session identifier that lets the server remember which product you were viewing as you move between pages; it holds a random string, expires when you close the browser or after two hours of inactivity, and is never shared. A small preference value may also be stored locally in your browser to remember a language or colour choice. If you block cookies entirely the site still works; you will simply lose that continuity between pages.
4. Why we use it, and on what basis
Answering you
To quote, confirm stock, and negotiate a sale. Basis: steps you have asked us to take before entering a contract, and our legitimate interest in replying to a business enquiry.
Fulfilling an order
To pack, stamp, ship, and handle returns, repairs and refunds. Basis: performance of the contract with you.
Books and tax
To keep invoices, bank records and shipping documents. Basis: compliance with Hong Kong accounting and tax law.
Security
To detect abuse, spam and card-testing attempts against the enquiry form. Basis: our legitimate interest in keeping the service available.
We do not sell your details, and we do not use them to build an advertising profile or to send a newsletter you did not ask for. We do not make automated decisions about you.
5. Who else sees your details
Only the parties needed to move a leather piece from our bench to your door, and each of them gets the minimum required.
Mail provider
Our business mailbox and its hosting provider process the enquiry thread so we can read and answer it.
Courier & broker
The carrier receives the recipient name, delivery address, phone number, parcel weight and customs description. An appointed customs broker sees the commercial invoice where duties apply.
Bank & payment
Our bank sees the payer name and the transfer reference for reconciliation. We do not operate a card processor on this site.
Accountant
Our accountant sees invoices and bank statements for statutory filing, under a confidentiality obligation.
We disclose data to a public authority only where Hong Kong law requires it, and we tell you unless we are legally barred from doing so.
6. Transfers outside Hong Kong
We are based in Hong Kong and our records sit on servers in Hong Kong, Singapore and the European Union. Because we ship worldwide, your name and address necessarily travel to the destination country so a parcel can clear customs. Our mail provider and courier are large international operators with their own data protection terms, and where a transfer leaves Hong Kong we rely on contractual protections and, where relevant, the standard contractual clauses of the receiving jurisdiction. By sending an enquiry you understand that your details will be handled in these locations; if that is a problem for you, tell us and we will correspond by the narrowest channel that still lets us ship.
7. How long we keep it
Enquiries that do not become orders
Twenty-four months from the last message, then deleted. This covers a customer who comes back a year later for the same hide lot.
Order and monogram records
Kept with the order. The monogram characters, the placement and the proof you approved stay in the order file for as long as the order record exists, because we need them to re-cut a matching piece or to repair the original.
Accounting records
Seven years, as required for Hong Kong books and records, then securely destroyed.
Server logs
Thirty days, then rotated out automatically.
Marketing consent
Until you withdraw it. Every message we send carries a one-line way to opt out, and withdrawal is actioned the same working day.
8. Your rights
Under the Personal Data (Privacy) Ordinance of Hong Kong you may ask for a copy of the personal data we hold about you, ask us to correct anything wrong, and ask us to stop using your data for direct marketing. You can also ask us to delete data we no longer need for a legal or contractual purpose, and we will do so unless an accounting or dispute obligation requires us to keep it. Write to HUIXINDA1@outlook.com and we will confirm within forty days; there is no fee for a first request. If you are in the European Union or the United Kingdom you also have rights of portability, restriction and objection under the GDPR or UK GDPR, and we honour those requests on the same route.
9. How to complain
Start with us. Write to HUIXINDA1@outlook.com with Privacy complaint in the subject line and say what happened and what outcome you want. We acknowledge within one working day and answer within thirty days.
If our answer does not resolve it, you may complain to the Privacy Commissioner for Personal Data (PCPD) in Hong Kong, which supervises the PDPO; the PCPD publishes its complaint form on its own website and accepts complaints in writing. If you live in the EU or the UK you may also complain to your national supervisory authority. Complaining to a regulator does not affect any other right you have.
10. Children
This site sells adult leather goods and is not directed at children. We do not knowingly collect personal data from anyone under sixteen, and we do not market to children. If you believe a child has sent us personal data, write to us and we will delete the record unless we are obliged to retain the corresponding accounting entry.
11. Changes to this notice
When our tools or the law change we revise this page and move the date at the foot of it. Material changes — a new category of recipient, a longer retention period, a new purpose — are also announced in the reply to any active enquiry so you are not left relying on an old version. Older versions are available on request. The date below is the version currently in force.
